Landlord gas safety checklist: everything you need to stay compliant in 2026

Gas safety compliance is one of the few landlord obligations where the consequences of getting it wrong include criminal prosecution, not just a fine. This checklist covers what to have in place, when to act and what records to keep.
Your annual CP12 certificate
- ◆A valid CP12 must be in place for every rental property with gas appliances at all times
- ◆Renewal is due every 12 months from the anniversary of the last certificate - not from January
- ◆Give a copy to new tenants before they move in (required by law)
- ◆Give a copy to existing tenants within 28 days of the renewal inspection
- ◆Keep records for a minimum of two years
Which appliances are covered?
- ◆All boilers and central heating systems fuelled by gas
- ◆Gas fires and gas heaters
- ◆Gas cookers and hobs provided by the landlord as part of the tenancy
- ◆Gas pipework and meters - the tightness test covers the whole installation
- ◆Tenant-owned portable gas appliances are not your responsibility, but do not block meter access
Boiler servicing - separate from the CP12
A CP12 inspection confirms the installation is safe at that moment. A boiler service maintains the boiler's efficiency, checks wear and extends its life. Most boiler warranties require an annual service to remain valid. You are not legally required to service the boiler annually, but a lapsed service increases breakdown risk and may void the warranty.
Record keeping
- ◆Keep CP12 certificates for at least two years - the law requires one year, but two is good practice
- ◆Keep a boiler service record in the boiler service book or digitally
- ◆Keep a record of any repairs made to gas appliances
- ◆Keep a written record of every access request and tenant response where access was needed for the inspection

Does the landlord gas certificate cover the tenant's own gas cooker?
No. If the gas cooker was provided by the tenant, it is their property and not covered by your certificate. Only appliances owned by or provided with the property fall under your obligation.
What if a tenant refuses access for the annual inspection?
Document every access attempt in writing. Courts have accepted that landlords who made genuine, repeated attempts to gain access are not in breach - but you must be able to show the evidence.
Are HMOs subject to different gas safety rules?
HMOs follow the same Gas Safety Regulations as standard rentals, but you may have additional licensing conditions that specify inspection frequency. Check your local authority HMO licence conditions.
